This privacy statement describes our policy and procedures on the collection, use and disclosure of your personal data when you visit our website and tells you about your privacy rights and how the law protects you.

This privacy statement applies to the processing of personal data provided by donors, volunteers, (freelance) employees, participants and contacts, and data acquired from visits to and use of our website.

  • Cookies are small files that are placed on your computer, mobile device or any other device by a website, containing the details of your browsing history on that website among its many uses.

  • Device means any device that can access the website such as a computer, a mobile phone or a digital tablet.
  • Personal Data is any information that relates to an identified or identifiable individual.
  • Service refers to our website.
  • Service Provider means any natural or legal person who processes the data on behalf of Fairspace. It refers to third-party companies or individuals employed by Fairspace to facilitate the website, to provide services on behalf of Fairspace, to perform services which assist Fairspace in analyzing how the website is used.
  • Usage Data refers to data collected automatically, either generated by the use of the website or from the website infrastructure itself (for example, the duration of a page visit).

While using Our Service, We may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to:

Usage Data is collected automatically when using the website. Usage Data may include information such as your device’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our website that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When you access the website by or through a mobile device, we may collect certain information automatically, including, but not limited to, the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browser you use, unique device identifiers and other diagnostic data.

We may also collect information that your browser sends whenever you visit our website or when you access the website by or through a mobile device.

We use Cookies and similar tracking technologies to track the activity on our website and store certain information. Tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze our website. The technologies we use may include:

Certain sections of our website and our emails may contain small electronic files known as web beacons (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit Fairspace, for example, to count users who have visited those pages or opened an email and for other related website statistics (for example, recording the popularity of a certain section and verifying system and server integrity).

Cookies can be “Persistent” or “Session” cookies. Persistent cookies remain on your device when you go offline, while Session cookies are deleted as soon as you close your web browser. We use both Session and Persistent cookies for the purposes set out below:

These are Session Cookies, administered by us, and they are essential to provide you with services available through the website and to enable you to use some of its features. They help to authenticate users and prevent fraudulent use of user accounts. Without these cookies, the services that you have asked for cannot be provided, and we only use these cookies to provide you with those services.

  • Cookies Policy / Notice Acceptance Cookies
    These are Persistent Cookies, administered by us and they identify if users have accepted the use of cookies on the Website.
  • Functionality Cookies
    These are Persistent Cookies, administered by us, and they allow us to remember choices you make when you use the website, such as remembering your login details or language preference. The purpose of these cookies is to provide you with a more personal experience and to avoid you having to re-enter your preferences every time you use the website.

Use of Your Personal Data

During your visit to this website, Fairspace may collect personal data about you. For example, when you subscribe to our newsletter, request information, ask a question, react on our website or establish contact with us in another way. We may also collect information that you have shared with us via social media, when you like us, share posts, participate in a promotional activity or contact us.

Fairspace shall only use these data for the purposes described below:

  • To contact you and to inform you aboutFairspace’s projects. For example, when you use the contact form, the donation form or subscribe to the newsletter on our website.
  • To register web statistics, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our website products, services, marketing and your experience.
  • For the proper fulfillment of the task of the organisation. For example, the conclusion of agreements and relationship management (CRM). Our current CRM system is  

Retention of Your Personal Data

Retaining personal data may be necessary for the proper performance of the tasks of Fairspace or to comply with legal obligations. Personal data are not kept longer than necessary. 

When you fill out the contact form on our website or send us an email, then we shall keep and process the personal data you send us for as long as this is necessary. How long they are kept depends on the nature of the form or the content of the email and the complete answering and handling thereof. In addition we may keep emails we receive insofar as this is necessary for the proper execution of our regular activities.


Privacy of Job Applicants

The data and documents that are provided by job applicants are processed by Fairspace to determine whether the applicant qualifies for a position within Fairspace. In order to make a good selection of candidates for the right vacancies, the recruitment and selection process at Fairspace may consist of: comparing the data of the applicant with the vacancy (vacancies) and the corresponding qualifications and contacting them if necessary to learn more about them. Where applicable, we may contact the specified referees.  


In addition, the data may be processed to pass on information to the applicant concerned about other vacancies for which the applicant may be eligible. Data from the applicant may also be distributed within Fairspace to see whether an applicant is eligible for another position other than the one they applied for. 


Fairspace processes personal data that may be relevant to the recruitment and selection procedure. In any event, this concerns the information provided by the applicant, including name and address details, other contact details, gender, date of birth of the applicant. What is also relevant, is the education, courses followed, traineeships and job history of the applicant. For certain positions a certificate of good conduct may be requested. If it is necessary for the job, applicants may be subjected to a screening and an assessment. In that case, the persons responsible for carrying that out will be given the personal data necessary for the purpose of the screening or the assessment. 

Fairspace keeps the data from applicants up to four weeks after the completion of the recruitment and selection process. Fairspace may contact the applicant within four weeks to ask to keep the data for a period of six months.  

An applicant has the right to inspect the processing of his personal data. Requests in this area should be addressed to the email address below. In response to such a request, an applicant may ask that their data be corrected, supplemented, removed or screened off, for example if the data is factually incorrect.



For all our mailing lists, your email address shall only be added to the list of subscribers with your consent. Every newsletter contains a clear link with which you can unsubscribe. We manage the maintenance, management and the security of software for the mailing lists ourselves, through Mailchimp. 


Social Media

We have buttons for the social networks Facebook, X, LinkedIn, YouTube, Instagram and TikTok on our website, to make it easy for you to share information about Fairspace. These buttons are bits of code from the social media themselves, and use a cookie. This cookie remembers that you are logged in so that you do not have to log in every time you want to share something on these platforms.


To see what the social media platforms do with your personal data, you may inspect the privacy statements of these platforms. 


In blog articles, content that has been imported from other sources or websites can be used and offered on the Fairspace website. For example, YouTube videos. Just like the social media buttons, these codes often use cookies. What they do with the cookies and personal data, can be found in the privacy policy of the platform concerned. 



We use Google Analytics to collect and analyze usage data from the website. Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of the website. This data is shared with other Google services. Google may use the collected data to contextualize and personalize the ads of its own advertising network.

You can opt-out of having made your activity on the website available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents the Google Analytics JavaScript (ga.js, analytics.js, and dc.js) from sharing information with Google Analytics about visits activity. Security of your Personal Data

Fairspace ensures that personal data are correct and complete before these are processed. Fairspace has taken physical, technical and organisational measures to protect your personal data. We use a secure server that is accessible only to authorised persons. This should prevent personal data being accessed or modified by persons not authorised to do so. 


Our domain and website are located in a data center in Eemshaven, the Netherlands. Your information, including personal data, is processed at Fairspace’s operating offices in the Netherlands. Emails are stored in Europe. All data is encrypted and constantly moved for safety reasons. 


Fairspace will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your personal data will take place to another organization or a country outside the EU unless there are adequate controls in place including the security of your data and other personal information.


We shall never pass on your personal data to third parties, if this does not explicitly follow our privacy statement. The only two exceptions to this are:

  • If we explicitly request your consent prior to the provision to third parties; 
  • If we are legally required to do so, and only after we have done our utmost to avoid provision on the basis of a legal obligation.

Your Rights

Under the General Data Protection Regulation (GDPR) your rights include the right to access personal data we have collected on you and in certain cases to modify or have them removed. If you subscribed to our newsletter, then every newsletter contains a clear link with which you may unsubscribe.

To exercise your rights, you may send a request via email to the contact details disclosed below. To fulfill your request we may ask you for further information to check your identity.

More information about your rights under the GDPR can also be found on the website Explaining your rights of the (Dutch) supervisor, the Data Protection Authority. You may also file a complaint with the Data Protection Authority about how we use your personal data, if you feel this is necessary. 


Children’s Privacy

Our website does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If you are a parent or guardian and you are aware that your child has provided us with personal data, please contact us. If we become aware that we have collected personal data from anyone under the age of 13 without verification of parental consent, we take steps to remove that information from our servers.

If we need to rely on consent as a legal basis for processing your information and your country requires consent from a parent, we may require your parental consent before we collect and use that information.

Our website may contain links to other websites that are not operated by us. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.
